Location: The Cayuga-Onondaga BOCES Regional Education Center, Auburn NY
Job Objective:
The position serves as a strategic and operational partner to the District Superintendent/CEO, responsible for managing high-level administrative functions, coordinating complex work, and ensuring the effective flow of information, time, and priorities across the organization. An employee in this class is responsible for the performance of complex, confidential, and detail-critical work that directly supports executive decision-making and organizational effectiveness. Responsibilities include managing executive-level communications and scheduling, coordinating initiatives across internal and external stakeholders, and ensuring the accurate and timely execution of key priorities.
Work is performed with a high degree of independence, judgment, and discretion, often in situations requiring prioritization, problem-solving, and decision-making without direct supervision. The role requires the ability to anticipate needs, manage competing demands, and maintain accuracy and composure in a fast-paced, high-expectation environment.
The position may provide direction to clerical staff and is expected to contribute to the development and improvement of systems and processes that enhance efficiency and organizational performance. Performs related duties as required.
Minimum Qualifications: Graduation from High School
Preferred Qualifications:
- Demonstrated experience supporting a senior executive, superintendent, or CEO in a complex organization
- Proven ability to manage and prioritize competing demands with minimal direction
- Experience preparing materials for executive leadership and/or governing boards (i.e. agendas, briefing documents, minutes, or board packets)
- Strong written communication skills with the ability to independently produce clear, concise, and accurate documents under tight timelines
- High level of discretion and judgment in handling confidential and sensitive information
- Ability to anticipate needs, identify problems early, and take action without waiting for direction
- Experience coordinating across multiple stakeholders, departments, or organizations
- Comfort operating in a fast-paced, high-expectation environment with shifting priorities
- Strong systems orientation including the ability to organize work, track commitments, and improve processes over time
- This role includes formal responsibility as Clerk of the Board, requiring precision, legal awareness, and the ability to ensure compliant and effective governance processes
Distinguished Qualifications:
- Experience supporting Board governance, including preparation of agendas, minutes, and official records
- Familiarity with public sector, school district, or BOCES operations
- Working knowledge of legal and procedural requirements related to meetings, records, and public transparency
- Demonstrated ability to improve systems, workflows, or organizational processes
- Experience operating in environments requiring high levels of coordination across multiple organizations or stakeholders
Primary Roles and Responsibilities:
- Support senior leadership by managing complex, high-priority administrative and strategic needs
- Manage and prioritize competing demands to ensure efficient and effective executive operations
- Prepare and deliver high-quality written materials for executive leadership and governing boards with accuracy, clarity and tight turnaround timeframes
- Safeguard confidential and sensitive information by exercising sound judgment and discretion
- Anticipate leadership needs and proactively address issues before they escalate
- Coordinate communication and workflow across multiple stakeholders, departments, and organizations
- Operate effectively and independently in a fast-paced environment with shifting priorities and high expectations
- Organize, track, and continuously improve systems for managing work, commitments, and processes
- Fulfill Clerk of the Board responsibilities by ensuring accurate records, legal compliance, and effective governance processes
- Manage complex executive scheduling across multiple stakeholders and changing priorities
- Prioritize work independently, solve problems, and execute tasks without step-by-step direction
- Strengthen governance processes by supporting Board operations, including agendas, minutes, and official records
- Apply knowledge of public sector and BOCES operations to support organizational effectiveness
- Ensure compliance with legal and procedural requirements related to meetings, records, and public transparency
- Improve organizational systems, workflows, and processes over time
- Facilitate coordination across multiple organizations and stakeholders to support shared outcomes
- May perform other responsibilities as directed by the District Superintendent
